A transfer order allows inventory to be moved from one site to another.

List Detail View

Filters
Transfer orders may be sorted on Number, Status, From Site, and To Site by clicking the filter heading. You may filter for sales orders that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the detail view.
Quick Action
  • Issue Transfer Order - Once the transfer order is completed and inventory is read for transfer, you will need to change the status to issued. Issuing a transfer order queues line items to be received at the new site.
  • Unissue Transfer Order - This action disables items on a transfer order for receiving and allows edits to take place.
  • Clone Transfer Order - Creates a new transfer order with the same information as the selected transfer order. Only the transfer order number and timestamp will differ.
  • Delete Transfer Order - Remove the transfer order record from the list view and archive the record in LOCATE. This action cannot be undone from the list detail view.

Clicking on a specific transfer order number record takes you to the main profile of that transfer order.

Transfer Order Detail View

The transfer order number will be the main sub-tab. Here, you may view the transfer from site, transfer to site, issue date, issue by, and line items associated with transfer order. To edit this information, you will need to navigate to the Details sub-tab. The badge at the top right of the module navigation bar will indicate what status the transfer order is in. See the Order Statuses page for more information on how statuses are used to manage transfer orders.

Transfer From and To Sites
  • Indicates the sites where the inventory is coming from and where inventory is going to.
Issue Date and By
  • Indicates when the order was issued and by which user.
Line Items
  • View the line type, status, part number, part name, scheduled fulfillment date, expected delivery date, and quantity.

Module Navigation Bar

Details

  • View and edit all of the order-level details for the transfer order.
  • The site and address information is displayed at the top of the page, and may be modified by clicking Edit.

Notes

Notes are for internal use only. Entered notes will be displayed at the top of the sub-tab and can be filtered or sorted. You may also modify a specific note by clicking the Edit or Delete button.

Enter a New Note
  1. Type note to text box with "Start typing note here..." prompt.
  2. Click Save Note.
  • There is no character limit, but special formatting is not supported.

Use memos for special instructions that you would like to be visible to the customer. Memos are found in the details sub-tab of the order.

Docs

This sub-tab allow you to upload and download any pertinent document information you wish to associate with a transfer order. See our Documents page for instructions on how to upload and download documents in Locate.

Operations

  • Any operations record linked to the current order will be displayed in this sub-tab. This will include receipts, picks, packs, shipments, and pickups.
  • While a record cannot be created from this page, records are hyperlinked for quick access to that specific record.

Reports

Any reports associated to the Transfer Orders module will appear in this sub-tab.

Custom

Any custom fields pertaining to transfer order will reside in this tab. If a custom field is required, it will be necessary to fill out when creating a transfer order.

Actions

  • Clone Transfer Order - Creates a new transfer order with the same information as the selected transfer order. Only the transfer order number and timestamp will differ.
  • Pick Transfer Order - This action will create a pick for the items and redirect the page to the Picking module.
  • Issue Transfer Order - Once the transfer order is completed and inventory is read for transfer, you will need to issue the transfer order. Issuing a transfer order queues the items for receiving at the new site.
  • Unissue Transfer Order - This action disables items in a transfer order for receiving and allows edits to take place.
  • Send Email - Quickly send an email to a fellow employee to regarding transfer order or other information without leaving the screen you are working on.
  • Audit - The Audit sub-tab provides information about changes and events made to a transfer order.
  • Auto Complete - Generates and fulfills a pick, pack, and shipment for all items on the order. They will be left at the pickup stage for the user to complete. Items without inventory will not be auto-completed.
  • Delete Transfer Order - Removes the transfer order from the list view and archives the record in LOCATE. This action cannot be undone from the list detail view.

Create Transfer Order

  1. Navigate to the Transfer Orders module and click New Transfer Order.
  2. Fields:
    • From Site - Enter the site from which the items will be leaving. If the site has an address associated with it, the address will automatically populate once the site has been selected. Click here for more information on how to add an address to a site.
    • To Site - Enter the name of the site to which the items will be sent. If the site has an address associated with it, the address will automatically populate once the site has been selected. Click here for more information on how to add an address to a site.
    • Scheduled Fulfillment Date - Enter the date when the items are expected to arrive at the destination, or "To Site".
    • Carrier & Carrier Service Level - Begin typing and select the desired carrier and service level from the drop down list. If the correct carrier or service level is not found, you will need to add the carrier or add the service level.
    • Custom Fields - Complete any custom fields, as desired. If a custom field is required, you must complete it to create a transfer order.
  3. Click Save.

Now you have created a transfer order in the unissued status. Next:

  1. Add line items to transfer.
    • Enter the part and quantity.
    • Click Add Item.
      • Visit the Line Items page for a full tutorial on how to add, view, and edit line items.
  2. Edit details, add notes, upload documents, view related records, run reports or add custom fields as desired.

Issue/Unissue Transfer Order

Once a transfer order is ready to be sent, it will need to be issued. Issuing a transfer order prevents users from adding items or editing order details. Items on the order are sent to the Picking Module to be pulled from their various locations.

Issue Transfer Order

  1. Navigate to the transfer order list view.
  2. Use the header sorting or filters to find the order to be issued.
  3. You may either:
    • Click Quick Action, and select Issue Transfer Order. OR,
    • Click the order number, open the Actions menu, and select Issue Transfer Order.

Unissue Transfer Order

  1. Navigate to the transfer order list view.
  2. Use the header sorting or filters to find the order to be unissued.
  3. You may either:
    • Click Quick Action, and select Unissue Transfer Order. OR,
    • Click the order number, open the Actions menu, and select Unissue Transfer Order.

Clone Transfer Order

Cloning a transfer order maps all the details of the original transfer order to a new transfer order. Values that will not be the same include: transfer order number, timestamps, and documents. A transfer order may be cloned in any status, and the new transfer order will be created in the unissued status. This feature is helpful for items which are often transferred from one site to another.

  1. Navigate to the transfer order list view.
  2. Use the header sorting or filters to find the order to be cloned.
  3. You may either:
    • Click Quick Action, and select Clone Transfer Order. OR,
    • Click the order number, open the Actions menu, and select Clone Transfer Order.

Delete Transfer Order

Transfer orders may be deleted from the list view under the Quick Action Menu, or:

  1. Navigate to the sales order you would like to delete.
  2. Click Actions, and select Delete Transfer Order.
  3. When prompted, click Yes.

Transfer orders that have been issued may not be deleted.
