General

The Receiving module will provide you with a list of items that were previously received, as well as those which are ready to receive.

List View

The list view of the Receiving module will show previously created receipts. Within the list view, you may click Inbound Inventory to see all items ready to be received.

Filters
Receipts may be sorted on Number, Origin, Orders, Priority, Site, Assigned To, Status, Created Date and Completed At date by clicking the filter heading. You may filter for receipts that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search.
Quick Action
  • Delete Receipt - Remove the receipt from the list view and archive the record in LOCATE. This action cannot be undone from list view.

Clicking on a specific record takes you to the detail view for that receipt.

Receipt Detail View

The Details tab will be the main sub-tab. Here, you may view the site, location, assigned user, applicable dates and items to be received. The badge at the top right of the module navigation bar will indicate the receipt status. See the Order Statuses page for more information on how statuses are used to manage receipts.

Site
  • The site to which the items are being received.
Location
  • The current location of the items being received. For more information on locations in LOCATE, continue here.
Assigned User
  • The name of the user assigned to the receipt will be hyperlinked.
Started and Completed At Dates
  • The started date refers to when the receipt was generated.
  • The completed at date will populate when the receipt is finished.
  • These dates cannot be modified.

Module Navigation Bar

Details

The details tab will be the main sub-tab. Here, you may quickly view the details of the receipt and items to be received.

Receipt Details
  • Displays site, location, assigned user, and date or receipt.
Items to be Received
  • Each item shows the status, part, associated quantities, and order number.

Notes

View and edit notes pertaining to the receipt.

  • Notes are for internal use only and will not be displayed on order documents.
  • Entered notes may be filtered or sorted.
  • You may modify a specific note by clicking the Edit or Delete button.
Enter a New Note
  1. Type the note in the text box with "Start typing a new note..." prompt.
  2. Click Save Note.
  • There is no character limit, however special formatting is not supported.

Use the memo field on the Details sub-tab for special instructions that you would like to be visible to the customer.

Reports

Any reports associated to the Receiving module will appear in this sub-tab.

Custom

Any custom fields pertaining to receipts will reside in this tab.

Actions

  • Go To Putaway - Redirects the page to the Putaway module.
  • Send Email - Quickly send an email without leaving the screen you are working on.
  • Audit - View the history of modifications made to the receipt record, including the user who made the modification and when.
  • Delete Receipt - Removes the receipt from the list view and archives the record in LOCATE. This action cannot be undone from the list view.

Create Receipt

Receipts may be created from the Receiving module or the Purchase Order module.

From the Receiving Module

  1. Use the filters and column headers to find the order for which you would like to create a receipt.
  2. On the appropriate order line, click Create Receipt.
  3. Click Go To Receipt.

You will be redirected to the receipt in the Receiving module. Now you may proceed with finishing the receipt.

From the Purchase Order Module

You may create a receipt from the purchase order detail view.

  1. Use the filters or column headers to find the purchase order for which you would like to create a receipt.
  2. Click Actions, and select Receive Purchase Order.

You will be redirected to the receipt in the Receiving module. Now you may proceed with finishing the receipt.

Finish Receipt

Once items are received into the warehouse, you will need to finish the receipt in LOCATE.

The Receiving module will automatically open to show Inbound Inventory. Use the back-arrow to the left to open the Receiving module list view.

  1. Use the filters or column headers to find the receipt you would like to finish.
  2. Click the Number link.
  3. Enter the quantities for each line item received.
    • If you receive an item with non-serialized tracking, you will be prompted for the tracking information and associated quantity.
  4. You may click Finish for each line item to prevent further editing, or click Finish Receipt to finish all lines at once.

Now that the receipt has been completed, you may proceed to the Putaway module to place the inventory in the appropriate location(s).

Once a receipt has been finished, you cannot void or undo the receipt. If you are still expecting to receive the items, we suggest temporarily moving them to a non-pickable location to avoid negatively impacting costing layers. Otherwise, you will have to adjust out the inventory and re-create the purchase order. (Note that this solution will impact your costing layers and margins for these items.)

Delete Receipt

Receipts may be deleted from the list view under the Quick Actions Menu, or:

  1. Navigate to the receipt you would like to delete.
  2. Click Actions, and select Delete Receipt.
  3. When prompted, click Yes.

Receipts that have been completed may not be deleted.
