Main Page

General

Line items can be found on orders and are the primary reference point when orders proceed through operations workflow.

  • Note that line item numbers may not be sequential as they are for reference only.

Columns

Show/Hide Columns

Columns may be exposed or hidden throughout the order modules in LOCATE (sales order, return order, etc.) to allow the user to customize their view. This option is opened by right-clicking the column header of the line items and checking or unchecking the desired columns. Note that these changes will only apply to the current user and will not affect other users' views.

Lines

Sorting/Reordering

There are two methods to reorder line items in a manner that best suits your needs. Most simply, line items may be sorted by specific data by clicking the desired column header.

Alternatively, you may also manually reorder the items:

  1. Click the Options menu in the line item header and select Re-Order Lines.
  2. You may now click and drag line items to place them in the desired order.
  3. Once completed, click Save.
  4. If you decide that you would rather not reorder the lines, click Undo, or open the Options menu and select Cancel Line Reorder.
    • Note that the line items may initially appear to remain re-ordered. Simply click the Line Number (#) heading and the lines will sort by their original number.

Multi-Select

Multiple line items may be selected at once to be edited or deleted.

  1. Click the checkboxes next to the desired line items, or click the checkbox in the header to select all.
  2. Click the checkbox drop-down menu in the header.
  3. Choose the appropriate action:
    • Edit - Opens the ability to edit multiple fields for all of the selected line items. (Note that leaving any of the following fields blank will not change or remove the line item data.)
      • Site - Change the site at which the items are to be fulfilled.
      • Scheduled Fulfillment Date - Select a new fulfillment date, or check Clear Fields to empty the fields.
      • Expected Delivery Date - Select a new delivery date, or check Clear Fields to empty the fields.
      • Line Type - Change the line types: Sale, Drop Ship, Shipping, or Credit.
      • Click Save And Close.
    • Delete - Removes the selected line items from the sales order.

Bill of Materials

Item Information

Line Type
Bill of Materials must have at least one input line type and one output line type.
  • Input - Parts which are contributing to the final good(s), and which will be consumed in the process.
  • Output - Parts which are the resulting final good(s), and which will be created in the process.
Part Number
The part number will be displayed here and hyperlinked for quick access.
Part Name
The part name will be displayed here and hyperlinked for quick access.
Qty
The quantity of input parts contributing to, or output parts resulting from, a bill of material.

Add Line Item

Bills of Materials must contain at least one input and one output line.

  1. Navigate to the bill of material to which you would like to add line items.
  2. Complete the following fields:
    • Line Type - Select the appropriate line type.
    • Input Part or Output Part - Search for the part by number or name. The name of this field will change depending on the Line Type selected.
    • Quantity - Enter the quantity of the part.
  3. Click Add Line.

Edit Line Item

  1. Next to the appropriate line item, click Edit.
  2. Update the quantity.
  3. Click Save.
Edit Drop-Down Menu
  • Delete Line - Remove the item from the bill of material.

Invoices

Item Information

Sort Order
The order in which the line items appear.
SO Number
The original sales order number will be displayed here and hyperlinked for quick access.
Line Type
  • Normal
Part Num
The part number will be displayed here and hyperlinked for quick access.
Part Name
The part name will be listed here.
Scheduled Fulfillment
The date that the line item is scheduled to be fulfilled will transfer from the original sales order.
Expected Delivery
The date that the line item is scheduled to be delivered will transfer from the original sales order.
Site
Here you may view the site from which the item is being fulfilled.
Return Reason
If the invoice was created from a return, the return reason will transfer from the original return order.
Qty
Price
Line Total
Save
  • Columns - This saves the current column view.

Add Line Item

Invoices are automatically generated by the system during order fulfillment. Individual invoice lines may not be added manually.

Edit Line Item

Invoice line items may not be edited directly through the Invoice Module. Unissued invoices will update if the sales order prices change.

Pack

Item Information

Part Number
The part number will be displayed here and hyperlinked for quick access.
Part Name

Order Number
The associated order number will be displayed here and hyperlinked for quick access.

Add Line Item

Pack line items are usually determined by the original order. However, items which are Ready to Pack for other orders may be added if they are for the same customer and destination.

Edit Line Item

Options Menu
  • Add Packlines - You may add packlines from other orders if they are for the same customer and destination.
  • Add Carton - Adds another carton to the pack. You will be prompted to select the carton type and details.
  • Update All Carriers - Quickly change the carrier and/or carrier service level for all cartons. This may only be applied to cartons for which either the carton type has no assigned carrier and/or service level, or if it does, it must match the carrier details selected here.

Pick

Item Information

Picklines may be filtered to see all lines on the pick, or only those which are currently pickable. Simply toggle the All Lines and Pickable Lines buttons in the upper right corner of the line item information table.

Add Line Item

Picklines are determined at the time the pick is created and may not be added manually onto an existing pick record.

Edit Line Item

Line items may be edited until the item is finished. When the line item status is Not Started, the quantity and location may be edited. Once the item has been committed and the status changes to In Progress, you must open the Finish drop-down menu and uncommit the item to make changes.

  • View Inventory - This will open a pop-up window to quickly view the part inventory.
  • Remove - This removes the part from the pick and sends it back to the picking queue to be picked at another time.

Add Line Item

Add New Line
  1. Navigate to the purchase order detail view.
  2. Complete the following fields:
    • Line Type - Select the type of line item you would like to add.
    • Part - Enter the part name or number and select the appropriate one from the list.
    • Qty - Enter the quantity of the part you would like to purchase.
    • Unit Cost - Enter the cost of the item.
      • Note this field will not be available for Outsource or BOM Outsource line types.
    • Custom Fields - Complete custom fields as desired. Any required custom fields must be completed to add a line item to the purchase order.

Edit Line Item

  1. Navigate to the purchase order line item which you would like to edit.
  2. Click Edit.
  3. Change the appropriate information and click Save.
Edit Drop-Down Menu
  • Edit Memo - TAdd or edit the memo associated to that specific line item.
  • Add Note - Add or edit a standard or alert-type note for the line item.
  • Delete Line - Remove the line from the purchase order.
  • Void Line - Void a line item on an issued purchase order to cancel it.
  • Close Short - If you are only receiving a partial quantity of a line item you may close short to complete the item after issuance.
  • View Inventory - This will open the current inventory quantities and locations for quick reference.

Void Line Item

To cancel an item on a purchase order that has been issued, the item will need to be voided in the system.

  1. Navigate to the purchase order line item which you would like to void.
  2. Open the drop-down menu next to the Edit button.
  3. Click Void Line.

Add Line Item

Add New Line
  1. Navigate to the quote to which you would like to add line items.
  2. Click New Line.
  3. Use the filters and column sorting to narrow down the results and find the part you are looking for.
  4. Next to the appropriate part, click Select Part.
  5. Complete the following fields:
    • Qty - Enter the quantity of the part to add to the quote.
    • Price - Enter the price per part. If a default sale price has been applied to the part record, this will automatically populate.
    • Site - Select the site from which this item should be fulfilled. You may choose to Auto Determine the site based on your priority site fulfillment settings. For more information about managing site fulfillment, click here.
    • Custom Fields - Complete custom fields as desired. If a custom field is required, it must be completed to add the line item.
  6. Click Add Line.
Quick Add

If you are more familiar with the part(s) you are looking for and don't require the extra search metrics, use Quick Add to expedite adding items to the quote.

  1. Navigate to the quote to which you would like to add line items.
  2. Complete the following fields:
    • Site - Select the site from which this item should be fulfilled. You may choose to Auto Determine the site based on your priority site fulfillment settings. For more information about managing site fulfillment, click here.
    • Part - Enter the part name or number and select the appropriate result from the list.
    • Qty - Enter the quantity of the part to add to the quote.
    • Price - Enter the price per part. If a default sale price has been applied to the part record, this will automatically populate.
    • Custom Fields - Any required custom fields will appear below and must be completed to add the line item.

  1. Navigate to the quote line item which you would like to edit.

  • Reserve Inventory - The specified part and quantity will be removed from the overall Available for Sale quantity and flagged as reserved for this particular quote.

  • Add Fee - Add a fee to the line item. For more information about fees, continue here.
  • Edit Memo - Add or edit the memo associated to that specific line item.
  • Add Note - Add or edit a standard or alert-type note for the line item.
  • View Inventory - This will open the current inventory quantities and locations for quick reference.

Edit Line Item

Line items may be edited prior to issuing the order.

  1. Next to the line item you would like to edit, click Edit.
  2. Update the site, whether or not the item is being received back, the quantity, and the price.
  3. Click Save.
Edit Drop-down Menu
  • Delete Line - Here you may remove the line from the associated record.
  • Add Fee - Fees may be added to the line items. For more information about fees, continue here.
  • Add Discount - Discounts may be added to the line items. For more information about discounts, continue here.
  • Edit Memo - Edit the line item memo here. Memos are visible to customers.
  • Edit Reason - You may edit the return reason. For more information about return reasons, continue here.

  • Show Inventory - This will show/hide the inventory alerts on the sales order.

Add Line Item

  1. Fields:

Part Configurator

When adding a configurable part to a sales order, you will be prompted to select the individual parts and quantities for each component.

  1. Fields:
    • Qty - This field will determine the total number of parent configurable parts to make.
      • Note that this will create multiples of this configuration. If you would like to add a different variation of this configurable part, you will need to do so by adding a separate line.
    • Site - The site at which the parent configurable part currently resides.
      • You may either specify the site or check Auto-Determine.
    • Include - Check the box next to each component that you would like to include in the configuration.
      • If a component is required this box will be automatically checked and may not be un-checked.
    • Item - The individual component will be listed here.
    • Options - Select the appropriate part associated to the component
    • Unit Qty - Enter the quantity of the component to add to the configuration.
    • Total Qty - This is the result of the quantity of the parent configurable part multiplied by the quantity of the component.
    • Unit Price - If the component allows for price override, you may edit the unit price. Otherwise, the part price will be displayed here.
    • Avail. for Sale - Here you may view the total quantity of the component available for sale.
    • Custom Fields - If any custom fields are required, they must be completed to save the line.
  2. Click Add Line.

Edit Line Item

Sales order line items may be edited in bulk to change the site, fulfillment date or delivery date of all lines. If you attempt to bulk update a line with a quantity of zero, the line will error out and no changes will be made to that line. Any drop ship line items will not be affected by site changes.

Use Orders

Item Information

  • Check Out - If a part is temporarily in use, the check out line type allows you to retain visibility of the inventory.
  • Consumption - If a part has been given away the consumption line type allows you to remove the item from the inventory. The transaction is then recorded in the account of your choice, based on the use case selected.

Perform Pick
If the item needs to be picked from the warehouse, or if the item has already been physically picked and has tracking, select Yes to complete the proper picking process in LOCATE. If the item has already been picked and has no tracking, select No. This will open the option to complete the Location field, and upon issuance of the use order a pick will be automatically created and completed.
Location
The specific location from which the part has been picked. This location will be used to automatically create and complete the associated pick.
Qty
The quantity of the part that has been checked out or consumed.

Add Line Item

  1. Navigate to the use order to which you would like to add line items.
  2. Complete the following fields:
    • Line Type - Select the type of use this part will be subject to:
      • Check Out - If use of the item is temporary and will ultimately be returned to inventory, it is considered a Check Out line type.
      • Consumption - If the item will not return to inventory, it is considered a Consumption line type.
    • Part - Enter the part name or number and select it from the drop down list.
    • Qty - Enter the quantity of the part.
    • Perform Pick - Select whether or not the item needs to be picked from inventory. If the item is already in your possession, you may select No. Otherwise, selecting Yes will prompt you to complete a pick record.
    • From Location - If you've selected not to perform a pick, you must fill in the location from which the item was originally picked.
    • Custom Fields - Any custom fields associated to use orders will appear here. If any of the custom fields are required, you must complete them in order to add the line item and save the record.
  3. Click Add Item.

The line item will appear in the list below. Once you've added all of the desired items, you are ready to issue the use order.
