The ledger in LOCATE records each transaction that occurs in LOCATE. This is an easy way to quickly reconcile the batch transactions sent to your accounting software with the individual transactions stored in LOCATE.
Important Note: This module will only populate with data if you have an active accounting service integration. Continue here for more information about accounting service integrations.
You may also view ledger transactions specific to individual records within certain modules. For example, in the Sales Order Module you may view a Ledger sub-tab on a sales order record and see the Ledger activity for that order.
- The ledger may be sorted on Recording Date, Debit Account, Credit Account, Amount, Accounting Transaction Type, Accounting Transaction Ref. Number, Locate Transaction, and Service by clicking the filter heading. You can filter for accounts that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the Detail View.
- Click Refresh to reload the module without having to reload the entire website.
Any reports associated to the Ledger Module will appear in this sub-tab. By default, the Ledger Detail, Account Detail, Batch Detail by Account, and Transaction Detail reports are linked to this module.
- For more information on associating reports, continue here.
This is a shortcut to quickly sync an accounting service without having to leave the Ledger Module.
You may choose to sync the Ledger at your own intervals depending on the account service schedule or manually at any time. Once the transactions sync with your accounting software, they will be associated to a specific reference number, which correlates with the journal entry number in your accounting software. The LOCATE Transaction column will display the specific order in LOCATE that the transaction is associated to. Transactions will be grouped into journal entries based on the cutoff time you select in your Accounting Settings.
