The Inventory module provides a central place in Locate to view all details and statistics on all parts. Users have the option to view inventory by part or by site.

List View

Dashboard

The dashboard provides useful metrics to see what is going on with your inventory at a glance.

Over-Allocated Parts
This section displays parts for which the quantity allocated is greater than the quantity on-hand. You may create a purchase order, transfer order, or view the inventory detail of the part with the icons to the right. Purchase orders will be created with the part, quantity difference and destination site automatically completed. Transfer orders will require the user to input the site and quantity details.
  • Use the buttons at the top right to see inventory quantities W/Reservations or W/Out Reservations.
Filters
Parts may be sorted on Part Number, Part Name, Site, Qty Hard Allocated, or Qty Overallocated by clicking the filter heading. You may filter for parts that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the detail view.
Site Valuation
Quickly view the value of your inventory for each site. Clicking a site will redirect you to the By Site tab within the Inventory Module, which displays the value of the site, broken down by locations and parts.
Parts Expiring
Here you may quickly see which parts have upcoming expiration dates, and the quantity expiring.

By Site

All sites will be displayed in this view. Clicking into the site will allow you to view specific inventory information for that site.

Filters
Sites may be sorted on Name, Type, and Value On Hand by clicking the filter heading. You may filter for sites that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the detail view.
  • Click Refresh will reload the values.

By Part (Inventory)

All parts that keep inventory will be displayed in this view. Clicking into the part will allow you to view specific inventory information about the part.

Filters
Parts may be sorted on Number, Name, Part Type, Qty On Hand, Value On Hand, Qty On Order, Total Allocated, Reserved, or Allocated by clicking the filter heading. You may filter for parts that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the detail view.
  • Quick Export - This button will download a CSV of all inventory parts.
  • Clicking Refresh will reload the values.

By Part (Non-Inventory)

All non-inventory parts currently on hand will be displayed in this view. Clicking into the part will allow you to view specific inventory information about the part. You may also view the cost layers or move the items to a new location via the icons to the right.

Filters
Parts may be sorted on Part Number, Part Name, Site, Location, Qty On Hand, or Value by clicking the filter heading. You may filter for parts that match specific criteria by typing a value in the text field or selecting an option from the drop-down list. Clicking the Clear Filters button will clear your search. Any filters that are applied in list view will carry over to the List Navigator in the detail view.
  • View Cost Layers - This button will open a pop-up window which displays each of the cost layers for the part.
  • Move Non-Inventory - This button will open a pop-up window in which you may move location from one location of the site to another.

Inventory Profile Page

The part number and name will be the main sub-tab. Here you may view a chart of where parts are located by Site and Location and in what quantity. For each location, the quantities are broken down by site and location and displayed for reference. When a magnifying glass icon appears next to a quantity, you may click it to view the orders to which the part is associated and the site-wide totals. Use the Refresh button to re-load the inventory data, and quickly navigate to the Parts Module via the Go To Part button.

Site
  • View the site at which the part is located.
  • Vendor sites will be flagged with an information icon.
Location
  • View the specific location(s) at which the part is located.
On-Hand
  • Total quantity of parts currently in the warehouse.
Available For Sale
  • On-Hand less quantity Allocated. A negative number indicates more parts are on issued sales orders than are currently in the warehouse.
Available For Pick
  • On-Hand less quantity Committed.
Allocated
  • Total quantity of parts on issued sales or use orders.
Committed
  • Quantity of parts which have been picked.
On Order
  • Total quantity of parts to be received on purchase orders and transfer orders.

Module Navigation Bar

Inventory

  • The Inventory sub-tab allows you to view a chart of where parts are located by site and location and in what quantity. For each location, the quantities are broken down and displayed for quick reference.
  • Use the Refresh button to update inventory quantities.
  • Clicking the Go To Part button will redirect the user to the part profile page in the Parts Module.

Tracking

  • This tab will only be available if the part has tracking.
  • View the sites and locations in which this part contains specific tracking numbers.

Costing

  • Based on your costing method, costing details will be listed here by site.
  • You may view the costing layers for the part by clicking the list icon next to the Last Purchase Cost.

Adjustments

  • Any manual change in inventory quantity for a part will need to be done through the Adjustments sub-tab.
  • You may adjust, add, move, or scrap inventory.
  • Note: The Scrap and Adjust functions in LOCATE have designated costing accounts in which transactions are recorded to ensure accurate accounting. For more information about the Chart of Accounts in LOCATE, continue here.

Reorder Points

  • View the reorder points set for the part here.
  • To make changes, click Manage.

Activity

  • You may view the movement history of a part, along with related quantities, via the Activity tab.
  • Order and site information will be hyperlinked for quick access.

Actions

  • Create Purchase Order - Redirects the user to a new purchase order onto which the part has been added in the quantity specified.
  • Create Transfer Order - Redirects the user to a new transfer order onto which the part has been added in the quantity specified.
  • Go To Part - This action redirects the user to the part profile page in the Parts Module. For more information about the Parts Module, continue here.

Adjust Inventory

Adjust

Use the adjust feature to increase (adjust in) or decrease (adjust out) a part's quantity. This will only be available for parts which already exist in the specified location, and will adjust using the last cost for the site selected.

  1. On the Adjustments sub-tab, enter the Site at which you would like to perform an adjustment.
  2. Scroll down to the Inventory Adjust section.
  3. Fields:
    • Location - Enter the location of the part. Note, you will only be able to adjust inventory to locations within your assigned site, unless you are an administrator.
    • Adjust Quantity - Enter the quantity of parts you would like to adjust in or out.
    • Reason - Enter the reason for the adjustment.
  4. Click Adjust.

You may verify that the changes took place by navigating to the Inventory sub-tab and clicking Refresh.

Add

Use the add feature to add a quantity of a part which does not already exist in a location.

  1. In the Adjustments sub-tab, scroll down to the Inventory Add section.
  2. Fields:
    • To Location - Enter the location to which you would like to add the part. Note, you will only be able to add inventory to locations within your assigned site unless you are an administrator.
    • Cost - Enter the unit cost of the part.
    • Quantity to Add - Enter the quantity of the part to add.
    • Reason - Enter a reason for the addition here.
  3. Click Add.

You may verify the part has been added by navigating to the Inventory sub-tab and clicking Refresh. You should have the quantity entered displayed as an on-hand quantity.

Move

Use the move feature to relocate inventory to another location within the site.

  1. In the Adjustments sub-tab, scroll down to the Inventory Move section.
  2. Fields:
    • From Location - Enter the current location of the parts you wish to move.
    • To Location - Enter the destination location of the parts.
    • Quantity to Move - Enter the quantity of the part to move.
    • Reason - Enter the reason for the move here.
  3. Click Move.

You may verify that the correct locations have the correct quantities by navigating to the Inventory sub-tab and clicking Refresh.

Scrap

Use the scrap functionality to remove parts which are damaged or unfit for sale from your inventory.

  1. In the Adjustments sub-tab, scroll down to the Inventory Scrap section.
  2. Fields:
    • From Location - Enter the location from where the part is to be removed.
    • Quantity to Scrap - Enter the quantity of the part to scrap.
    • Reason - Enter the reason for the scrap here.
  3. Click Scrap.

You may verify the new quantity is reflected by navigating to the Inventory sub-tab and clicking Refresh.
