General

Access Control Lists (ALCs) refer to six specific actions which are set on a per-user basis for modules which have ACL settings. If a user or group is not specifically granted access, the user is defaulted to no access.

ACLs

Access Levels

Each ACL contains six access levels:

  1. Create
    • Allows user to create an object.
    • Without this flag, a user will not see the "New" button in most modules and will be unable to create an object.
  2. Read
    • Allows user to view existing objects.
    • Without this flag, the user will not be able to view previously created records.
  3. Update
    • Allows user to modify an object.
  4. Delete
    • Allows user to delete the object.
    • If not granted, a user will see the delete action, but will receive an error if deletion is attempted.
  5. Manage
    • Allows user to view an object's ACL.
  6. Execute
    • Allows user to run reports.
    • Note this access level only applies to the Reports module.

Auto-Flush ACLs

This setting controls whether a user can see historical records when granted access. If yes, a user that is granted read access will be able to see all of the data for that module. If the setting is flipped to no, the user granted read access will only be able to see records from that point forward.

To find this setting, go to Settings > Advanced.

Modifying ACLs

To add or edit a user or group's access, follow the instructions below:

  1. Navigate to the Access tab of the object or module you wish to modify.
    • Settings > [Module] > Access
  2. Add a user or group.
  3. Select which access levels you wish to grant.
  4. Click Save.

To edit or delete, locate the user or group's ACL settings. Click Edit or Delete and make modifications as necessary.

Default ACLs

As a helpful suggestion, Locate provides 6 default user groups with sensible permissions and ACL defaults. These are intended to be designed around various departments typically found at a company. You can modify defaults as you see fit or follow the steps outlined above to create a custom group.

The following chart outlines the default groups and their ACL settings:

C - Create
R - Read Access
U - Update
D - Delete
M - Manage ACLs for Object
